How to Count People at an Event

Fire codes, capacity limits, catering numbers, attendance reports — lots of jobs come down to one deceptively simple task: count every person who walks through the door, accurately, for hours.

The metal clicker in the drawer works until it doesn’t (no undo, no record, one door only). Your phone does the same job better.

Why headcounts go wrong

Manual counting fails in predictable ways: groups arrive in bursts and overwhelm the counter, someone asks the door person a question mid-count, and there’s no way to correct a double-click on a mechanical clicker. Over a multi-hour event those small errors compound.

The fixes are simple: a counter you can tap without looking, a minus button for instant corrections, and a persistent total that survives a phone call or a locked screen.

Patterns for real venues

How event staff set this up in practice:

  • One counter per entrance, each staffed — totals compared at close
  • An “In” counter and an “Out” counter to track live occupancy against capacity
  • A goal set to your legal capacity, so approaching the limit is visible at a glance
  • Per-session counters (morning service, afternoon workshop) for clean reporting afterwards

  1. Create a counter per door or sessionName them clearly — “Main Entrance”, “Session 2” — and set capacity as the goal if relevant.
  2. Tap for every entryThe full-screen button registers every tap, even tapped blind while you greet people.
  3. Fix mistakes instantlyDouble-counted a group? The minus button corrects it in place.
  4. Report with confidenceTotals and per-day statistics are saved — attendance reporting is a screenshot, not a memory test.

Skip the metal clicker. Get Tally Counter and run accurate headcounts from the phone already in your pocket.
